Tuition Waiver

Full-time faculty and staff members who are eligible for membership in the Teachers' and State Employees' Retirement System or Optional Retirement Program are eligible to enroll in two courses per academic year at a reducted rate, subject to approval by the employee's supervisor and Human Resources. Employees may enroll in courses at any of the 17 constituent UNC campuses. Enrollment is on a space-available basis and must not interfere with normal employment obligations. While tuition charges are waived during fall and spring semesters, the program does not cover other course-related expenses such as travel, laboratory, registration or other student fees. Forms for application are available below or from the Office of Human Resources, and must be completed and approved prior to effective date of the course. Tuition Waivers for courses may be subject to taxation. Please refer to guidelines provided with your tuition waiver forms. The Payroll Office is available to answer questions regarding this determination.

Guidelines for Applying for Tuition Waiver:

  1. Discuss your participation in advance with your supervisor and obtain informal approval to begin the application process.
  2. You must go through the normal admissions process and register for the desired course.
  3. Complete sections 1, 2 and 3 of the Tuition Waiver Request and Application form (see form below).
  4. You are responsible for submitting the form to the following for signatures:
    • Your Supervisor
    • Human Resources
  5. Once all the signatures in section 4 are obtained, submit the form to Denise Rowe in the Controller's Office in HFR for final processing.
  6. Pay your portion of the balance due at the OneStop located in Killian Annex.

Tuition Reimbursement

Full-time (at least 30 hours per week) faculty and staff members who are eligible for membership in the Teachers' and State Employees' Retirement System or Optional Retirement Program are eligible to enroll in up to 10 credit hours per semester (maximum of 20 per year) for courses that serve to develop knowledge, skills, and abilities directly related to the employee's classification or position. Pre-approval by the Department Head, Director/Dean, and Vice Chancellor is required and is based on job-relatedness of the course, funds available in the departmental budget for educational reimbursement, and the date and time of the course.

Employees may enroll in any accredited college or university. Employees may be reimbursed for 100% of actual costs for tuition, registration, and laboratory fees upon successful completion of the course. Expenses should not exceed the maximium amount charged by the University of North Carolina.

Guidelines for Applying for Tuition Reimbursement:

  1. Be sure you have completed the probationary period for SPA employees, if applicable.
  2. Discuss the proposed course with your supervisor to determine that it is job related and eligible for reimbursement.
  3. Courses must be taken on your own time unless it is not available during working hours. Educational leave may be available under certain circumstances. Please contact Human Resources for additional information.
  4. Complete the Tuition Reimbursement Application (see form below) prior to taking the course.
  5. After successfully completing the course with a grade of "C" or better, attach the grade report and payment receipts to the Reimbursement Form and submit to Human Resources for approval. If approved, Human Resources will forward the package to the Controller's Office for reimbursement.
